The University of Glasgow is looking for an Intellectual Property and Data Manager to join their team full-time. Apply by 23 April 2025!
The role will involve maintaining up-to-date case files using the University's document management system, support invoicing/cost recovery, support diligence on university ownership/freedom to exploit analysis, produce activity reports for various internal clients and to collaborate with team members to contribute to process as well as service improvements. The remit of the IP & Commercialisation team is to support academics/researchers to translate innovations arising from their research activity into assets that can be licensed or assigned to spin-out companies, start-up ventures or existing businesses. These licensees will then invest in these early-stage assets to develop and launch new products or services. Intellectual property protection, of some form, is therefore a key requirement and an important function in the IP & Commercialisation team.
Job Purpose
To provide specialist, professional advice, leadership and operational IP management support to the IP & Commercialisation Team within the University’s Innovation, Enterprise & Engagement Directorate (IEED). The role holder will work as part of the team that provides specialist advice and support to academic staff on the protection and commercialisation of innovations arising from their university research activities leading to widespread and enduring impact beyond academia. The role holder will attend relevant external courses to support continued professional development.
Main Duties and Responsibilities
Responsible for:
1. Managing a large and complex portfolio of patents, ensuring the correct actions have been undertaken, relevant fees paid, and appropriate decisions taken to curate the portfolio.
2. Ensuring accurate and up to date project, patent and other registered IP records are maintained on the university intellectual property management system.
3. Manage the cost-effective use of university patent agents and lawyers in delivery of diligence and project outcomes.
4. Ensuring all service charges and official fees in relation to the IP portfolio are accurately recorded, working closely with the Finance teams across the University.
5. Liaise with the IEEDD administrative team in relation to the processing of invoices in relation to the patent budget and cost recoveries.
6. Ensure timely processing and actioning of routine correspondence between the University, inventors and the patent agents and ensuring critical deadlines are met.
7. Build and maintain effective working relationships with academic and professional services staff through the provision of specialist intellectual property expertise to deliver project outcomes.
8. Patent formality administration: identify, check and action patent formalities, (For example, Powers of Attorney, confirmatory assignments and inventor declarations).
9. Supporting the IP & Commercialisation Team with preparing standard form agreements, primarily revenue sharing agreements and inter-institutional agreements and liaising with relevant parties (internally and externally) in this regard.
10. Ensure that details of licenses and spin-out transactions are appropriately recorded on systems and details shared with the Finance Office and legal team.
11. Collect, collate and record in a database all information received in relation to each GU Holdings portfolio company.
12. Support invention assessments including prior-art, freedom to operate searching and market research.
13. Compiling reports using the university intellectual property management system to provide the metrics required for reporting to HE-BCI, research funders (e.g. Wellcome Trust, BHF), Colleges, Schools and university management.
